Delos Recap for Zoom

Delos Recap sends a recording bot into your Zoom meetings and turns them into written summaries, transcripts and searchable notes inside Delos.

Adding the app

Prerequisites: a Delos account with access to the Recap application; a Zoom account (Basic/free accounts are supported).

  1. Sign in to Delos and open the Recap application.
  2. In the toolbar at the top right of the meeting list, click the Zoom control.
  3. Select Connect Zoom in the menu. You are redirected to Zoom.
  4. Review the permissions and click Allow.
  5. You are returned to Recap. The control now shows your account as connected.

Permissions we request:

  • user:read:user — to identify which Zoom account authorized the app, so the bot can be attributed to you.
  • user:read:token — to obtain the short-lived On-Behalf-Of token Zoom requires for a bot to join a meeting hosted outside your organization.

We do not request access to your cloud recordings, your meeting list, or your contacts.

What we store: your Zoom user identifier, your Zoom account identifier, and an encrypted refresh token, used only to mint the On-Behalf-Of token when you launch a bot. We never store your name, email, profile photo, or Zoom password.

Using the app — Recording a meeting

What it does: a bot joins your Zoom meeting as a visible, named participant, records it with the host's permission, and produces a transcript and a written summary in Delos.

Prerequisites:

  • Your Zoom account is connected (see above).
  • You must be present in the meeting. Zoom requires the bot to be attributed to a real participant, so it cannot enter before you do. If launched too early, it waits and retries for about 10 minutes, then gives up.
  • The meeting host grants the recording permission the bot requests on arrival.

Steps:

  1. In Recap, paste the Zoom meeting link, or select the meeting from your synced calendar.
  2. Launch the bot. It joins under a clear name (e.g. "Delos Recap — [Your name]") and posts a message in the meeting chat announcing its presence and listing who will receive the summary.
  3. Zoom asks the host for recording permission. Recording starts once it is granted.
  4. When the meeting ends, the transcript and summary appear in Recap.

Using the app — Syncing your calendar (optional)

What it does: connects Google Calendar or Microsoft to list your upcoming meetings so you can launch a bot in one click instead of pasting a link.

Prerequisite: a Google or Microsoft account. This is separate from the Zoom connection and is not required to record Zoom meetings.

Removing the app

You can disconnect from either side; both have the same effect.

From Delos: open the Recap application → click the Zoom control in the toolbar → click Disconnect.

From Zoom: sign in to the Zoom App Marketplace → Manage → Added Apps → find Delos Recap → click Remove.

What happens when you remove the app:

  • The bot can no longer join Zoom meetings hosted outside your organization. Launching one will fail until you reconnect.
  • Meetings already recorded remain available in Delos. Removing the app does not delete past summaries or transcripts.
  • Your Zoom authorization is revoked.
  • Nothing else in your Zoom account is affected. We do not delete Zoom cloud recordings, meetings or settings.

Deleting your meeting data: to delete a recording, its transcript and its summary, open the meeting in Recap and choose Delete.

To request deletion of all data associated with your account, contact support@delos.so.

Troubleshooting

  • "Invalid redirect" when connecting. Your Delos instance is misconfigured. Contact support@delos.so with the URL shown in the error.
  • The bot never joins the meeting. The most common cause is that the Zoom account that authorized the app is not in the meeting. Zoom requires the bot to be attributed to a participant who is present. Join the meeting first, then launch the bot.
  • The bot joins but does not record. The host has not granted the recording permission the bot requests. Ask the host to accept the prompt, or make the bot a co-host.
  • The Zoom control shows a warning icon. Your authorization is no longer valid — usually because the app was removed from your Zoom account. Click the control and reconnect.
